Welcome! You are assigned to a Small Table Group of six to eight parents. This is a great way for you to get to know a few people. It is also a way for you to get important information as quickly as possible through your Small Group Table Leader. Your group will be assigned two meetings where you will be in charge of refreshments.
When your Small Group has refreshment duty, at least one person in the group should plan on arriving around 8:45am , others around 9:00am (with kids in tow) to setup the following:
- First and foremost, get coffee started (a person from Setup committee will be there to instruct and help).
- Set up refreshment table. Bring whatever kinds of food your group members wish to make. Be sure at least one person brings at least 1 carton of juice. Plan on 24-32 people eating (plates, napkins, cups & utensils provided).
- Take kids to their appropriate rooms.
Your Small Group Table Leader is going to be your line of communication to the entire group. When announcements have to be made between meetings, you will hear from your Small Group Table Leader or P.I,T. Coordinators. If you ever have something important for the entire group to know, call your Small Group Table Leader and she will pass it on to one of the Coordinators who will then pass it on to the rest of the Small Group Table Leaders, etc. Please don’t hesitate to ask for prayers during our prayer for children or write your prayer request & leave it in the basket at the welcome table. If you are uncomfortable with this, call the Prayer Chain Leader to start a prayer chain.
Your Small Group will also be responsible for making meals for a group member who has just had a baby or if someone is sick. The group can decide on two or three meals and share the responsibility for preparing and delivering these meals at a time when the new parent or sick parent needs them most.
SPECIFIC COMMITTEES
Meeting Setup Committee Responsibilities
- Arrive by 8:45am (kids in tow and begin by helping to get coffee/hot water on.
- Get supplies out of “Parents in Touch” bin in kitchen
- Set up tables, tablecloths, centerpiece and nametags.
- Help set up refreshment table with eating utensils, etc.
- Assist in setting up Childcare rooms if needed.
Meeting Cleanup Committee Responsibilities
- Pick up children & return
- Clean off tables
- Help clean up refreshment table and wash out coffee maker
- Store tablecloths, name tags, leftover eating utensils, etc. in storage bins – return bins to storage room (women’s bathroom).
- Assist in breaking down childcare equipment if needed, assist childcare workers in cleaning up rooms.
COORDINATORS: Shares calls to Small Group Table Leaders to notify group of particular events, authorizes all expenditures of group and announcements to group. Assist with committees as needed. Share responsibility in writing articles for newsletter and other church publications.
SMALL GROUP TABLE LEADER: Call small group members once a month to remind about the meetings and any other announcements about the group. Let Chairparent know of important announcements from within small group. When a parent in your group has a baby, organize small group to provide three meals to that mom. Welcome new members and if possible plan other times for your small group to meet throughout the year. Organize small group to provide food for assigned meetings.
GREETING TABLE: Welcome new parents; give them welcome packet, direct them to make nametags, get food, and assist with collecting fees, prayer requests and birthday drawing.
ADULT CRAFTS (3x year): Responsible for planning approximately three projects throughout the year. This includes the purchase of materials and setup as necessary (costs will be reimbursed). Projects should have minimal cost and should take about 20 minutes or less to finish.
KIDS’ PROGRAM/CRAFTS: Responsible for design of children’s program. This includes agenda for each age group with age appropriate activities. Responsible for planning 9 projects (one each meeting) throughout the year. This includes purchase of materials and setup with instruction for childcare workers (costs will be reimbursed).
CHILDCARE PROGRAM: Organize recruiting of childcare workers for children. Work with Lead Childcare Workers to make reminder phone calls and assign substitutes if needed.
SOCIAL: Plan park visit during the first Thursday of every month & arrange days over the summer. Give out schedule by last meeting in May. Arrange annual summer picnic and other Parent parties. Arrange reservations for monthly Ladies Night Out, take reservations from group, place ads in Church Bulletin and make reminder calls the night before. Plan one event a year involving children on off meeting day.
NEWSLETTER: Provide monthly newsletter with items of interest to parents. Will include upcoming events, childcare tips, recipes, etc.
TREASURER/MEMBERSHIP: Assist Lead Coordinator with handling of all monies between group and Church. Work with church for monthly budget tracking and keep record of our monies separate from Church so that accurate income/expenditure amounts can be seen. Keeps database of moms/kids wait list tracking membership and collecting dues
COMMUNITY OUTREACH: Schedule parents to feed homebound, coordinate adopting family/families for Christmas and Easter and any other projects deemed worthy.

FUNDRAISING: Help in planning annual fundraiser. Funds will be to subsidize cost of community outreach when possible.
